Goyalmara Meetings website: why this website

Every meeting ends in decisions; every decision becomes a task with an owner; every task stays visible until done.

MSF / OCP Bangladesh, Goyalmara emergency hospital. Website mockup. Signed in as: Example Project Coordinator (example user).

1. Agenda: plan a meeting

A good agenda is half the meeting. Add topics, who presents, how long, and carry in what is still open, so nothing gets lost.

2. Register a meeting

Planned it already? Tap Start meeting in the list above. Otherwise, about a minute: basics, decisions, then tasks with owners. Everyone involved is informed automatically.

3. Clear tasks

A clear task gets done faster. Each task is checked for 5 things: starts with an action verb, says what or where, one owner (an account), a due date, and a link to its meeting or decision. We also gently flag possible duplicates. You can always save; unclear tasks get a Needs clarity badge so someone can tidy them later.

4. Follow-up: what gets sent

Example messages only. Nothing is really sent from this mockup.

Owner's message

Attendees' meeting summary

Cross-department attention

Transversal topics raised for joint attention by heads of department. Open β€Ί Acknowledged β€Ί Resolved. Together we solve it faster.

Message to the receiving head of department

Support requests (managers' view)

Tasks where someone asked for support, or that are late enough that a line manager has been asked to help. Asking early helps the team.

Facility split

How we count: Pending = open and not yet past its due date. Needs attention = open and past its due date. They never overlap, so Pending + Needs attention = all open tasks. This is the same on every table and chart on this page.

Recognition: thank you, teams

We celebrate teams and units, not individuals. Only good news here.

How support requests work: if a task is more than 3 days past due, the next person up the owner's line-manager chain (the "Reports to" column) is asked to support (Supervisor β†’ Manager β†’ Coordinator). If the owner taps "Ask for support", or the meeting chose "Escalate now", their line manager is asked straight away. The task shows Support requested with that person's name. It is about getting help, never about blame.

Org chart

Line management from the Project Coordinator down. Tap β–Έ to open or close a team. Tap a name to show only that person's branch in the Accounts table and task list. Facility shown on each node. Numbers: team headcount (people without an account) Β· accounts below Β· open Β· needs attention (that person's own tasks).

Accounts

Example names only (real names not yet available). Only Supervisor, Manager and Coordinator levels have accounts (log in, own tasks, receive messages). Frontline staff are shown as team headcounts on their supervisor or manager. Tap a person to see only their tasks in the task list. Open = Pending + Overdue.

Assumptions: roles with no supervisor between them and a manager (HR Assistants, Secretary, Finance Assistant, Social Worker, Staff Health Doctor, CSN, MDs) are counted as team headcounts on that manager or supervisor. The OPD team split (1 MD, 5 Medical Assistants, 12 Triage Nurses, 7 Patient Navigators = 25) is an example; the OPD MD is counted separately from the 18 hospital MDs. The Medical Warehouse team (4), WatSan Agents (6) and Drivers (4) are example counts. Health Promotion: 40 Health Promoters + 10 Cultural Mediators (PC Support is the CMs' technical supervisor). Teams covered = accounts + team headcounts.
